Negative Quantity On Hand Report

The Negative Quantity on Hand Report displays all stock and non-stock items with a negative quantity on hand (Administration > Reports > Inventory > Items > Negative Quantity On Hand). The report can be used to quickly identify items with negative quantities in order to resolve the negative situation. Run this report with no filters selected (leave all filters defaulted) and select the Stock Site Level Quantities output option to return a list of ALL negatives across all stock sites.

 

Output options
  • Stock Site Level Quantities: a formatted report that only displays the negative quantity at each stock site.
  • Negative Quantity on Hand: Stock Site Level Quantities

  • Stock Site Grid: Excel report that displays all items and the current quantity on hand at each stock site, even if the quantity is not negative at one of the stock sites.  For instance, the quantity on hand is -2 at the Redmond store, but quantity on hand is 3 at the Warehouse. Evosus would show both quantities in the spreadsheet. The report also displays the company-wide quantity totals.

Dates
 
Selecting one of the available date range options does not display items there were negative during the time frame you select; instead, it displays all items that are currently negative that were sold, purchased or created in the time frame you select.  For instance, item ABC currently has -2 on hand. The item was purchased on July 15th. Item DEF has -1 on hand, but was purchased on June 1st.  When I select the "Item Purchase Receipt in Date Range" filter and select the July Accounting Period, the ABC item will appear, but the DEF item will not.
 
Product Lines
 
Allows you to filter the report by one or more product lines. Use the By Specific Product Line Department radio button to select a specific sub-department.
 
Vendors
 
Allows you to filter by one or more vendors. Only items with a negative quantity on hand AND an association to the selected vendor(s) will appear on the report.
To select vendors based on their Vendor Class, select the vendor class from the drop-down menu and click Select Vendors From This Class.
If you are using the Carecraft or Aquatech integrations, click the Select Aquatech Vendors or Select Carecraft Vendors buttons to mass select all vendors currently mapped to the integration vendor.
 
Manufacturers
 
Allows you to filter by one or more manufacturers. Only items with a negative quantity on hand AND an association to the selected manufacturer(s) will appear on the report.
 
Item Types
 
Allows you to filter by Item Type. Keep in mind that only stock or non-stock items can go negative, so selecting Labor, Other or Special Order will return no results.
 
Item Class
 
Allows you to filter by Item Class. Only items with a negative quantity on hand AND the selected item class(es) will appear on the report.
 
Misc Options
 
Provides a variety of filters for the report. A great use for this filter would be to locate all serialized items with a negative quantity on hand. Typically, serialized items are more expensive and should not go negative often.
Important:  These filters work together and the item must have ALL the selected criteria. If you select Include Serialized Items and Include Is Hazardous, Evosus will locate all items with a negative quantity that are also marked as Serialized AND marked as Is Hazardous. You will not find some items that are only marked as serialized and some other items that are only marked Hazardous.
 
Item Details
 
Provides a variety of filters based on the item setup, such as item code range, weight range, item code, description, and size. You could use this filter to locate all items with a negative quantity AND in a specific item code range.
 
Dollars
 
Provides filters based on retail price or cost as well as Fixed vs Margin pricing. For instance, you may not be as concerned about negative items that cost less than $100 (at least not when spot checking your negatives). You could use this filter to locate all items with negative quantity AND a unit cost between $100 and $5000.
 
Stock Sites
 
Allows you to filter by one or more Stock Sites. Only items with a negative quantity in the selected stock site(s) will appear.
