Cash Drawers are opened or closed with the incorrect amount, what happens in the background in Evosus Accounting and how do you correct the issue.
When a cash drawer is closed incorrectly that improper amount automatically posts to the Cash on Hand Account and the Over/Under Account either as a debit or credit. When you make the corrections in the Make Deposit Screens depending on what scenario you have will automatically post a debit or credit to the Cash on Hand account and the Over/Under account.
Resolution:
Scenario 1: Employee entered an incorrect amount when opening the cash drawer and when it was closed the correct amount was entered. The cash drawer closing is posted to Cash on Hand and Over/Short.
- If the cash drawer was short, it will post a credit to Cash on Hand and a Debit to Over/Short. In this scenario, the drawer is considered short, and you would want to debit Cash on Hand and credit Over/Short by creating a JE to do the reversal of the original posting.
Scenario 2: Employee closed the drawer with less than the expected amount, but the expected amount was correct.
- In this scenario, the cash drawer closing will automatically post a credit to cash on hand and a debit to Over/Short. However, the expected amount in Make Deposits will be less than what you must deposit. Simply override the amount by editing the Deposit to Bank Column in the deposit screen in Make Deposits and Evosus will automatically post a debit to Cash on Hand and a credit to Over/Short.
Scenario 3: Employee closed the drawer with more than the expected amount, but the expected amount was correct.
- In this scenario, the cash drawer closing will automatically post a debit to cash on hand and a credit to Over/Short. However, the expected amount in Make Deposits will be more than what you have to deposit. Simply override the amount by editing the Deposit to Bank Column in the deposit screen in Make Deposits and Evosus will automatically post a credit to Cash on Hand and a debit to Over/Short.
Scenario 4: Employee entered the wrong "Left in Drawer" amount and then opened with the correct amount
- In this scenario, the amount to deposit in Make Deposits will be over or under the actual amount to deposit. You can override the amount to deposit in Make Deposits - this will post to Cash on Hand and Over/Short. Simply reverse the postings that occur to correct Cash on Hand and Over/Short.
In this scenario, the amount to deposit in Make Deposits will either be Over or Under the amount that should have been deposited.
You can override the amount by editing the Deposit to Bank Column in the deposit screen to the correct amount. This will automatically post to Cash on Hand and Over/Short. There are no other steps that need to be taken.
EXAMPLE: Cash Drawer was opened with $100 Cash transaction for that day was $13.81, therefore, cash in the Drawer should be $131.81 and what was left in the drawer should have been $100 but was $0. Then the cash Drawer was opened with the $100. In that case, it automatically created a wash in the over/under however in the Make Deposit it will show the total amount of $131.81 to be deposited which isn’t true so Edit the Bank Deposit amount to the 13.81 since that is the true amount that was deposited and that will create an automatic wash in the cash on hand account.
